How to administer users

Required role: Supervisor.

Each supervisor of a server has access to a list of users on that server and can administer them.

To open the user management section:

  1. Click on your profile icon in the top right corner of the window.

  2. Select ‘User management’ from the drop-down menu to access the Users panel.

  3. The upper icon on the left pane leads to the ‘Users’ section.

The ‘Users’ section is a control center where you can:

  • Add new users;

  • See and manage roles and teams for the existing users on the server;

  • Search users by name or other attributes, and filter them by type and status;

  • Check the information about each user's actions;

  • Get the big picture with server-wide billing-related usage statistics.

How to add a user

  1. Go to the ‘Users’ section and click the ‘Add Users’ button

  2. In the popup window

    1. Enter the email addresses of the users you want to add (separate multiple emails with commas).

    2. Assign roles for the users (this can also be edited later);

    3. Add them to a group (optional, can be done later);

    4. Add users to a team (optional, can be done later);

    5. Click the ‘Send Invites’ button


  3. Invitations will be sent to the specified email addresses. Users can follow the link in the email to accept the invitation and create a DataTile account. Access will be granted after account creation. Here is an example of the email:

User administration

The table provides key information about users. You can modify a user's status or assign roles by clicking the corresponding cell in their row. To make changes to multiple users simultaneously, select the desired rows and choose an action from the toolbar.

You can sort the table by clicking the title of any column to arrange rows accordingly.

Column

Description

Magic Wand icon

The magic wand icon indicates that the user is a Creator, and unmarked accounts belong to Collaborators.

Name

Contains the provided full name and email of the user. Click on the name of a user to navigate to the individual screen for more details and operations.

Status

Account status reflects the current stage of a user account. Accounts can progress through various stages, including “Invited”, “Pending moderation”, “Active”, “Blocked”, and “Deleted”.

Team

For improved billing organization and access management, accounts can be linked to one of the existing teams. This association helps streamline billing processes and ensures the right users have access to the appropriate folders and entities.

Roles

Abbreviated Roles granted to the account. Click on the cell to see and manage the user’s role. Read more about the system roles here.

Last Activity

The "Last Activity" column shows the most recent interaction a user had with the server in any manner. By sorting users based on this column, you can identify the most or least active users.

Entities

The number of entities owned by the account. These could be dashboards, databases, charts, etc.

Records

The total number of interviews or records in all databases owned by the users.

P30d

This value represents the number of days a user has interacted with the server within the last 30 days. I.e. it ranges from 0 to 30.

Avg.PV

The average number of hits (such as calculations, dashboard views, etc.) a user performs daily is calculated over the past 30 days. This provides an insight into their typical daily activity when they work with the system.

Registered

This indicates the date when the user first registered on the server.

Invited by

This refers to the person who either invited this user to register on the server.
