Transferring ownership of data before deleting a user

Required Role: Supervisor

When a team member departs or switches roles, there might be a need to transfer their data to another owner.

To undertake this sensitive operation, you must have the Supervisor role on the server. We suggest initiating this action prior to deleting a user, as it prevents data loss that could potentially belong to the user being removed.

It's important to note that you cannot perform this action on yourself or against users who:

  • Possess the Administrator or Supervisor roles. It's advisable to revoke these roles before transferring data ownership;

  • Do not own any databases or other entities.

How to initiate the data ownership transfer:

  • Go to Administration → Users;

  • Pick the user you need to transfer data from;

  • Click on the ‘Actions’ button under the user’s name;

  • Choose ‘Take over the User’s data'.

Please be aware that the user will receive an email notification regarding this transaction. Your name and email will be shared with them for potential reconciliation purposes.

After the data is transferred you may proceed to the User deletion.
